This policy covers the use of personal information that the OTGS holds and collects, in accordance with the Data Protection Act 1998.

In this document, the words and phrases below have the meanings shown next to them:

  • Services - features of the website, including, but not limited to, fixtures, results, and membership database
  • We, us, our - the webmaster and site administrators
  • You, your - the user of this website and its Services
  • Members - users of this website who are recognised by the website to be members of the OTGS
  • Public - users of this website who are not recognised by the website to be members of the OTGS

2. Personal Information

Any compulsory personal information required by us will be requested when you register; for example, but not limited to, your name, your e-mail address and a password. Your name will be visible to the public when it is necessary to identify any data you provide for viewing by the public; for example, but not limited to, news items, fixture reports. and your participation in fixtures. Your e-mail address will be private and stored only to allow our systems to securely issue you with a temporary password should you forget your login password, or to allow us to contact you if the need arises. By default your name and e-mail address will be visible to other members through the membership database service, but you can opt to hide your e-mail address if you wish to do so. Your password will be stored only after being encrypted using a one-way encryption algorithm.

Any further personal information can be provided and maintained using the configuration section; for example, but not limited to, your address, your telephone details, and your golfing handicap. Any such information is optional, and if you provide it, it will be visible to other members through the membership database service, although at no point is it visible to the public. We will only use this information when it is necessary to contact you by post or telephone; for example, but not limited to, posting the annual "Fixtures and List of Members" publication.

At no stage do we need or will we request sensitive personal data, as defined by the Data Protection Act 1998. Your personal information will not be stored for longer than it is required. We may disclose personal information if required to do so by law.

  1. provide true, accurate, current and complete information
  2. maintain and promptly update the information as necessary

3. Statistics

Statistical information is stored concerning each page retrieved, in order to allow us to plan upgrades for the future and to protect against unauthorised access to Services. Information stored includes IP addresses and, when logged in, membership data, both of which could be used to identify you. Under the Data Protection Act, you have the right to see this information (see 6).

4. Cookies

We make use of cookies to store login information allowing you to hold a session, and we may occasionally use it to temporarily store settings for certain areas of the website. No personal information is stored in your cookie.

5. Security

Your personal information is securely stored inside password protected databases on computers in the UK, and access to the information is restricted to authorised users, certain Uzeweb staff and their contractors.

6. Your Access to Your Data

You have certain rights under the Data Protection Acts. You have the right to be told what personal information we hold about you on our databases. Most of this should be visible from the 'configuration' section. However, if you wish to see this information you must apply in writing to the site administrator, stating your name and address. An administrative charge will be made for fulfilling this request.
